Sending a submission by email

The address

Send submissions to herald-submissions@babbixai.com from your registered address. Start a new email for each insured — a fresh thread, not a reply on an old one and not an old thread with a changed subject line. The thread you start becomes the home for everything about that insured.

What to include

Include whatever you have about the insured in the body, in attachments, or both — the minimum to get started is the insured's name and address, plus their industry or website. Results improve with more rating detail:

  • Annual revenue

  • Employee count

  • Website

  • Requested coverage, limit, and effective date

Here is a sample email:

Please quote cyber for Acme Foods, 214 Main St, Portland ME. Revenue around $4M, 38 employees, acmefoods.com. $1M limit, effective October 1.

Anything you leave out is either requested by reply or filled with a standard assumption — an omitted effective date, for example, defaults to the first of the coming month. Every assumed value is disclosed in the results email's attachments.

Attachments that work

Feel free to send any documents you have about the insured — PDFs, Word and Excel files, images (JPEG, PNG, TIFF), CSVs, prior applications, dec pages, ACORD forms, or loss runs all work. You can also forward an existing email thread and the quoted conversation will be read along with everything else, as will attached Outlook messages (.msg).

The system has trouble with the following types:

  • Files inside a .zip archive aren't read. Attach them individually.

  • Password-protected files can't be opened and are skipped without a warning.

  • Handwritten notes on scanned documents extract unreliably — type key corrections into the email body instead.

The rules that keep results clean

  • One insured per email. A submission covers a single insured; for a list of accounts, use batch quoting instead.

  • One limit per request. Where an email names more than one limit, a single value is picked to quote against. Ask for one, then request alternatives by reply.

  • One producer per sender. Quotes are attributed to the producer associated with your sending address.

What happens next

A reply lands on your thread, typically within ten minutes. It's one of two things: quote results — see Reading your quote results email — or a short list of details carriers still need — see When the reply asks for more information. Silence past 30 minutes means something's wrong: see You emailed a submission and nothing came back.
